Path: Assets > Configure Asset Management > Metadata Templates
The Metadata Templates page lets you manage the metadata templates that are defined for specifying metadata when creating or importing digital assets. You can add new metadata templates, add required metadata fields to all metadata templates, or edit, copy, or delete existing metadata templates.
A default metadata template is delivered with Portfolio; users may edit the default template, or copy it to create additional metadata templates for their library’s use when creating or importing digital assets.
In the Metadata Templates page, you can sort the Metadata Templates List by clicking the column heading of the information by which you want to sort. (For example, click the "Name" column to sort the Metadata Templates List by name.) When you click the column heading the first time, the software sorts the information in the Metadata Templates List in ascending order by the column heading. If you click the column heading a second time, the software sorts information in the Metadata Templates List in descending order by the column heading. When you click a column heading, the software displays a sort arrow to the right of the column name that indicates whether the data is being sorted in ascending or descending order.
Metadata Templates List
Displays a list of all the metadata templates that have been defined for creating or importing digital assets. This list displays the following information for each defined metadata template.
|
Option |
Description |
|
Code |
Displays a unique code for the metadata template (up to 30 characters). |
|
Name |
Displays the descriptive name of the metadata template (up to 80 characters). |
Metadata Templates Options
You may use the following options to add a new metadata template, add required metadata fields to all existing metadata templates, or to modify, copy, or remove an existing metadata template.
|
Option |
Description |
|
Add Metadata Template |
Creates a template for specifying metadata when adding or importing assets. (For more information, see Creating a metadata template.) |
|
Add Required Metadata to All |
Lets you add one or more metadata fields to the list of required metadata fields for all existing templates. (For more information, see Adding required metadata fields to all templates.) Important: Exercise caution when adding a required metadata field to all metadata templates. If you add a required metadata field to all templates by mistake, you must edit every metadata template individually to remove the metadata field from the list of required metadata fields. |
|
Edit |
Lets you modify the information and settings for the selected metadata template. (For information, see Modifying a metadata template.) |
|
Copy |
Lets you create a new metadata template by copying the information and settings of the selected existing metadata template. (For more information, see Copying a metadata template.) |
|
Delete |
Lets you remove a selected metadata template permanently from the system. (For more information, see Removing a metadata template.) Important: You cannot remove a metadata template that is set as the default metadata template. Since Portfolio requires at least one metadata template to exist and be the default template, you cannot delete a metadata template if it is the only template remaining in Portfolio. The Delete option is disabled for a template when it cannot be removed. If you want to remove a template that has been set as the default template, edit another metadata template and set it as the default metadata template. Then, delete the metadata template you want to remove. |
